Privacy Policy

This policy explains how Modern Salon Owner (modernsalonowner.com and app.modernsalonowner.com, operated by Renuka M) collects, uses, and protects personal data across two distinct services: (1) the modernsalonowner.com marketing website and free resource library, and (2) the SalonOS platform — a salon management system used by salon businesses and their staff.

1. About SalonOS

SalonOS (available at app.modernsalonowner.com) is a software platform that helps salon businesses manage appointments, client records, staff schedules, payments, and customer communications including WhatsApp messaging. When a salon business uses SalonOS, Modern Salon Owner acts as a data processor on their behalf — the salon business remains the data controller for their own client and staff data.

2. Data collected on the marketing website

When you download a free template or subscribe to our newsletter, we collect:

• First name — to address you in emails
• Email address — to send the download and occasional updates

We also collect standard server logs (IP address, browser type, pages visited) for security and analytics. We do not sell or rent this data.

3. Data collected through the SalonOS platform

When a salon business uses SalonOS, the following data is collected and processed:

• Business account data — business name, owner name, email address, billing information, and subscription details
• Staff data — staff member names, roles, working hours, and service assignments
• Client data — client names, phone numbers, email addresses, appointment history, and service preferences, as entered by the salon business
• Appointment data — booking details including date, time, service, assigned staff member, and location
• Payment data — transaction records and payment status (we do not store full card numbers; payments are processed by third-party payment providers)
• Usage data — platform activity logs used for support and performance monitoring

4. WhatsApp Business messaging

SalonOS uses the WhatsApp Business Platform API, provided by Meta Platforms, Inc., to send transactional messages on behalf of salon businesses to their clients. These messages include:

• Booking confirmation messages
• Appointment reminder messages
• Cancellation and rescheduling notifications
• Customer service responses within the 24-hour messaging window

To send WhatsApp messages, SalonOS processes the client's phone number and the relevant appointment details. This data is used solely to deliver the transactional message requested by the salon business.

We do not use WhatsApp message data or phone numbers for advertising targeting. We do not share WhatsApp user data with any third party for their independent use. Message delivery status (sent, delivered, read) may be received from Meta and stored for record-keeping purposes.

WhatsApp messaging is subject to WhatsApp's Business Policy and Commerce Policy. Salon businesses using SalonOS are responsible for ensuring their use of WhatsApp messaging complies with applicable laws and WhatsApp's policies.

5. Meta platform data

Modern Salon Owner is enrolled in Meta's Tech Provider programme, which allows salon businesses to connect their own WhatsApp Business Accounts to SalonOS via Meta's Embedded Signup flow. In this context:

• Modern Salon Owner acts as a technology provider and does not own or control the WhatsApp Business Accounts of individual salon businesses
• Data received through the WhatsApp Business API is used only to provide the messaging service described in Section 4
• We comply with Meta's Platform Terms and Privacy Policy

6. Data processor role

For salon businesses using SalonOS, Modern Salon Owner processes client and staff personal data solely on the instructions of the salon business (the data controller). We do not use this data for our own purposes beyond providing the SalonOS service. Salon businesses are responsible for:

• Obtaining appropriate consent from their clients for data collection and WhatsApp communications
• Ensuring their use of SalonOS complies with applicable data protection laws
• Notifying their clients about how their data is used

7. How we use your data

• To provide and improve the SalonOS platform and its features
• To send transactional WhatsApp messages on behalf of salon businesses
• To provide access to free downloadable tools and templates on the marketing website
• To send occasional emails about new tools, articles, and salon business resources
• To handle customer support and resolve technical issues
• To comply with legal obligations

We will never sell your data to third parties or use it for anything unrelated to the services described in this policy.

8. Email communications

By submitting your email to download templates, you agree to receive occasional emails from Modern Salon Owner. Every email includes an unsubscribe link. You can also email hello@modernsalonowner.com to be removed from all communications.

9. Data storage and security

Marketing website subscriber data (name and email) is stored on servers hosted by Hostinger. SalonOS platform data is stored on Supabase (AWS ap-south-1, Mumbai region). We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure.

We retain subscriber data for as long as you remain subscribed. SalonOS business and client data is retained for the duration of the business's active subscription, plus a 90-day grace period after account termination. You may request deletion of your data at any time.

10. Cookies and analytics

We use session storage (not persistent cookies) to remember that you have already entered your email in the current browser session. We use Google Analytics (GA4) and Microsoft Clarity to understand aggregate traffic patterns and improve the website. These tools use cookies — you can opt out via your browser settings or using Google's opt-out extension.

11. Third-party services

We use the following third-party services in the operation of our platform:

• Meta / WhatsApp Business Platform — transactional messaging
• Supabase — database and authentication
• Resend — transactional email delivery
• Google Analytics — website analytics
• Microsoft Clarity — heatmaps and session recordings
• Hostinger — website hosting

Each of these services operates under their own privacy policies and data processing terms.

12. Your rights

Depending on your location, you may have rights under the Digital Personal Data Protection Act, 2023 (India), GDPR (EU/UK), CCPA (California), or similar laws, including the right to:

• Access the data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict processing
• Withdraw consent at any time
• Data portability (where applicable)

13. Changes to this policy

We may update this policy from time to time. Material changes will be communicated by updating the "Last updated" date at the top of this page. Continued use of our services after changes constitutes acceptance of the updated policy.
