Privacy Policy

Pavirion Consulting Private Limited (trade name Pavirion Consultancy, “we”, “us”) operates the Modern Salon Owner website and the SalonOS salon management software. This policy explains what personal data we handle, why, and the choices you have. It is written to meet India’s Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. Who this covers and our role

• Salon owners and staff who sign up for or use SalonOS. For this data we are the data fiduciary.
• Salon clients whose details a salon stores in SalonOS. The salon decides what it collects and why; we process it on the salon’s behalf as a data processor.
• Website visitors and people who contact us.

2. Data we collect

• Account data: name, email, phone number, role, business and branch details, GST details.
• Salon operations data entered by the salon: client names, phone numbers, appointments, bills, payments, memberships, wallet balances, staff attendance and payroll records.
• Messaging data: WhatsApp messages exchanged between a salon and its clients through SalonOS, including those handled by our AI assistant.
• Device and location data: GPS location at staff clock-in or login, only where the salon turns this on and the device permission is granted. Microphone access only when you use the voice assistant.
• Technical data: IP address, browser and device type, pages visited, error logs.
• Payment data: processed by our payment partners. We do not store full card numbers.

3. Why we use it

• To provide, secure and support the service (bookings, billing, reminders, reports).
• To send service messages such as appointment reminders and invoices on a salon’s behalf.
• To run AI features that draft replies and suggest bookings.
• To meet legal duties such as tax and accounting records, and to prevent fraud and abuse.
• To improve the product using aggregated, non-identifying usage data.

4. Who we share it with

We do not sell personal data. We share it only with service providers that help us run SalonOS, under contract:

• Cloud hosting and database providers.
• Meta (WhatsApp Business Platform) and SMS or email providers for message delivery.
• AI model providers, for the AI assistant features.
• Payment gateways, and our accountants and legal advisers.
• Authorities, where the law requires it.

Some providers may process data outside India. We use providers that apply appropriate safeguards.

5. Retention

We keep data while an account is active and for as long as the law requires afterwards (for example, tax records for up to 8 years). A salon can ask us to delete or export its data when it closes its account, subject to those legal limits.

6. Security

Data is encrypted in transit, access is role-based and limited by salon and branch, and sensitive actions are logged. No system is perfectly secure; if a breach affects you we will notify you and the Data Protection Board as the law requires.

7. Your rights

You may ask to access, correct, update or erase your personal data, withdraw consent, and nominate someone to exercise these rights for you. If you are a salon client, contact the salon first; you can also write to us and we will route the request. Email hello@modernsalonowner.com. We respond within 30 days. You may also complain to the Data Protection Board of India.

8. Cookies

We use essential cookies for sign-in and security, and limited analytics cookies. You can block cookies in your browser; sign-in will not work without the essential ones.

9. Children

SalonOS is for businesses. We do not knowingly collect data from children under 18, except where a salon records a minor client with a parent’s or guardian’s consent.

10. Changes

We will update this page when practices change and revise the date above. For material changes we will notify account owners.
